Edwards Lifesciences Legal Assistant in Nyon, Switzerland
The Legal Assistant position provides administrative and analytical support to the Legal Department and the VP, International Legal Affairs.
Be a resource for the regional Legal Department. This role requires the jobholder to exhibit judgment and independent initiative. Communicate with lawyers, staff and other senior managers regarding major projects across the region. Ensure all high priority items are handled quickly and efficiently. Organize, administer and maintain Legal Department systems, and provide non-technical support and training. Solve problems quickly and proactively and coordinate varied and multiple projects simultaneously.
Interact with outside counsel, personnel and staff in various countries to ensure all high priority items are handled quickly and efficiently.
Collect signatures on legal documents and execution copies for filing; organize legalization of documents as required.
Follow up with internal clients regarding ongoing or new matters, including requests for information, documentation and deadlines.
Plan individual and group meetings, arrange travel schedules, assist with expenses reimbursement; handle office supplies and coordinate with IT department to solve technical issues.
Support litigation work by efficiently administering the relevant files.
Support Legal team with contract management and filing; educate and support employees in other departments and legal entities on contract management.
Collect information and prepare documentation relating to both litigation and non-litigation matters.
Maintain database of projects and their status; support attorneys in preparing and formatting regular status reports for various stakeholders; take minutes of legal team meetings.
Assist with specific projects as required; prepare reports and presentations.
Prepare and follow up on external and internal correspondence.
Maintain, update and improve regional legal team’s SharePoint site.
Education and experience:
Certificate of completion from high school
Attestation fédérale de formation professionnelle (AFP) for office assistants or equivalent would be an advantage.
Solid office administration knowledge gained in the legal department of a multinational or in law firms.
3-5 years of experience.
Fluent in English; other European languages a plus.
Advanced computer skills using MS Office and experience working with databases and contract management systems.
