Edwards Lifesciences Executive Assistant - Irvine Implant Manufacturing in Irvine, California

The role of the Executive Assistant offers the opportunity to assist a dynamic team. The Executive Assistant's role requires a proactive self-starter, who possesses high integrity, exceptional multi-tasking and communication skills, both oral and written. A high level of professionalism, organization, accountability and flexibility are essential. The successful candidate will be experienced and highly skilled in working with business professionals, preferably in a global corporation, and must be able to represent the department with professionalism in frequent interactions with peers, customers, industry leaders, and corporate executives. The ideal candidate will manage confidential matters, exercising strong attention to detail as well as high levels of discretion and judgment.


  • Effectively and proactively manage leaderships calendar, appointments, email, and office filing/organization.

  • Coordinate domestic & international travel, hotel accommodations, meeting schedules and all travel details.

  • Answer/screen calls and draft correspondence, proactively own and manage meeting agendas, and track deadlines.

  • Help plan and execute on meetings and training events.

  • Collaborate with human resources to facilities interview schedules.

  • Interact professionally with all levels of Edwards’ employees, customers, vendors, patients, and legacy founders.

  • Invoice review and processing.

  • Provide administrative support: office supply orders, catering requests, conference room management and other vendor requests as needed.

  • Prepare, maintain, generate and process essential documents and records (e.g., expense reports and other miscellaneous legal documents).

Basic Qualifications:

  • High school diploma.

  • A minimum of 6 years of executive assistant experience supporting Directors and above level leaders.

Preferred Qualifications:

  • Associate’s degree (or equivalent); or an equivalent combination of education, training, and some legal office experience.

  • Advanced skills in Microsoft Excel, Word, PowerPoint and Outlook.

  • Manufacturing operations environment experience.

  • Strong travel planning experience, with an emphasis on international travel.

  • Meeting planning experience, with internal and external stakeholders.

  • Effective interpersonal and communication skills, including both written and verbal communication skills are essential.

  • Excellent organization and multi-tasking skills, with demonstrated proactive ownership and accountability.

  • Strong attention to detail.

  • Ability to work in a fast-paced environment and to effectively work across a matrix organization.

  • Ability to work independently and prioritize with minimal daily instruction.

  • Works autonomously within established procedures and practices.
