Edwards Lifesciences Conference Services Manager in Irvine, California

The Conference Services Manager serves as the manager for Edwards Red Hill campus meetings and events activities, including but not limited to facilitating meetings, conferences, professional development seminars, philanthropic activities and other events. Responsible for all aspects of space operations including guidelines and procedures, contracting, permitting, inspections, inventory control, and reporting. This position reports to the Director, Administration Services.

Key responsibilities:

  • Evaluate and develop guidelines and procedures on use of space including overseeing the operation of the Red Hill campus meeting spaces and serves as subject matter expert while directing staff and services. Recommend policy revisions as needed to reduce cost and/or improve service and reflect best practices. Lead the development and execution of milestone and change management plans for meeting programs and communicate status and data to keep stakeholders informed.

  • Develop strategies to overcome objections/obstacles and build partnerships while educating on compliance requirements through effective communication and change management.

  • Promote campus space capabilities for cost-saving opportunities in partnership with stakeholders (e.g., meetings owners). Prepare forecasting analysis to anticipate future needs.

  • Educate third-party service providers on facility requirements and ensure contracts, insurance certificates and/or permits are properly executed.

  • Provide direction and guidance to logistical staff on event activities (e.g., site selection, food and beverage, branding, audio visual, transportation, entertainment, onsite staff, load-in/load-out operations, event safety communication plan, cost estimates and budget management, post-event assessment, etc.). Ensure internal and external partners, facilities, corporate dining, security, legal, compliance, etc. expectations are met.

  • Define reporting requirements, review and validate data to measure program effectiveness

  • Other incidental duties: Establish and maintain an internal event planning resource site and planning tools to facilitate consistent, high-quality planning standards and optimal experience for event attendees

Basic Qualifications:

  • Bachelor’s Degree in Business Administration, Hospitality, or Tourism with 10 years experience in meetings and events planning

  • Proven evidence of self-motivation and the ability to work both independently and with teams, with high personal standards representative of Edwards Lifesciences’ commitment to excellence

  • Excellent at data analysis and business process design

  • Proven expertise in online event software

  • Strong leadership skills and ability to influence change

  • Proven expertise in Microsoft Office Suite, including Microsoft Excel, PowerPoint, Word

  • Experience using SharePoint preferred

  • Proven ability to develop and maintain influential and collaborative relationships at a variety of levels

  • Ability to extract input from colleagues and stakeholders and achieve successful project outcomes through strong consensus building and facilitation skills

  • Excellent verbal and written communications skills, including the ability to document and translate business needs into event, contract and/or system requirements, process improvements, and policy changes

  • Recognized as an expert in own area with specialized depth and breadth of expertise

  • Expert knowledge of own area within the organization while contributing to the development of new concepts, techniques, and standards

  • Expert understanding of the hospitality industry, including experience in developing policies

  • Ability to serve as event strategy Subject Matter Expert, staying current of industry best practices, establishing and maintaining a network of industry professionals

  • Strict attention to detail

  • Ability to interact professionally with all organizational levels

  • Ability to manage competing priorities in a fast paced environment

  • Ability to represent leadership on projects within a specific area interfacing with project managers and cross-functional teams

  • Ability to consult in a project setting within specific area

  • Adhere to all EHS rules and requirements and take adequate control measures in preventing injuries to themselves and others as well as to the protection of environment and prevention of pollution under their span of influence/control

Preferred Qualifications:

  • Experience in medical device and or pharma preferred

  • Certification: CMP, HMCC, SMMP or similar preferred
